Commission / Decommission

A Commission event in Wholechain represents a product coming into existence in the documented supply chain, while a Decommission event represents the opposite - a product exiting the supply chain. We can equate this to the birth and death of an item.

Commission events typically occur at the farthest upstream point of the traceability journey - either the point of harvest or the first time that a product is being documented as itself. While a Decommission event can occur at the intended end of a product's journey (at consumption), there are other occasions when a product might need to exit the supply chain, i.e. if the items are damaged, lost in transit, or recalled. 

Here's how to capture both of these traceability events in Wholechain. 

Note: Commission events allow for the user of a custom data template. You can either use one a Network has shared with you, or create a custom template in the Templates page


Commission a product item manually 

Here's how to bring a new product item into existence in your traced supply chain.

Navigate to the  Products page from Wholechain's left-side menu, and click on the product you'd like to commission an item of.

Click  Commission in the top right corner of the page

You'll have the option to select a Custom Data Template, either that you've created previously or received from a Network Partner. If you do not wish to include any custom data, simply select "None."

To type in the traceability data for this item, select Manual as your data entry method and fill in all the required fields that appear below with details that capture the commission event you are logging.

Click Log Event and the product will appear in the Current Inventory tab for the product you've just commissioned. Now the item is ready for the next traceability event in its journey downstream. 

Commission product items via CSV Upload

More often than not, it's not practical to commission one instance of a product at a time, so our easy upload tool lets you commission up to 50 records at a time from a CSV file at one time. Here's how it works:

Navigate to the  Products page from Wholechain's left-side menu, and click on the product you'd like to commission an item of.

Click  Commission in the top right corner of the page

You'll have the option to select a  Custom Data Template, either that you've created previously or received from a Network Partner. If you do not wish to include any custom data, simply select "None."

Select CSV Upload and an upload field will appear.

Select  Download CSV Template and a CSV file will download to your computer containing column headers that match the fields of the template you've selected as well as the unit of measure and optional identifiers of the selected product.

Fill in the CSV template with all of the requested Commission data, and save the file. Each row will result in a commissioned item.

Upload the CSV by either dropping the file into the upload field or clicking Drop Here to Upload. The data should automatically appear in this space for you to review. Please note the table is editable, so you can make any necessary changes inside the window. Ensure that the dates are correctly formatted (YYYY-MM-DD).

Click Log Event, and the items will appear in the Current Inventory tab for the product type you've just commissioned. Now, these items are ready for the next traceability events in their journey downstream. 

Decommission

Decommission is the event type that captures the end of an traceability journey - either because it's been consumed, or must be removed from the supply chain for any number of reasons, such as damage, a defect, or a recall.

Navigate to the Products page from Wholechain's left-side menu.

Click on the product that has an item that you need to decommission.

In the Current Inventory tab, select the item(s) you want to decommission and click Actions > Decommission

If you selected multiple items to decommission and some items were decommissioned on different dates, select the "Multiple Dates" check box to include decommission dates item by

You'll be prompted to select a reason, provide a description to further clarify the Decommission event, and select the date of decommissioning. Note that you can decommission part of an item's available quantity or the entire quantity by changing the quantity field.

Click   Log Event, and the item will automatically relocate to your Decommission / Archive page where you'll notice that while the item is still visible, it can no longer be used to log events.
