User Guide: Product Bulk Import Template
Overview
The Wholechain Bulk Import Template is a tool to manage and upload master data into your Wholechain account. The templates will be used to initially configure your account as well as to add additional data to your account as needed. They can be uploaded as many times as needed.
File Instructions
Add all products you receive, transform, and/or ship, including both raw materials and finished goods.
Item Number/ID - A unique ID assigned to any product set up in your company’s Wholechain account. Each product must have a unique Item Number/ID. Typically this is the ID used in your ERP system. Duplicate Item number/ID's are not allowed. Products with unique GTINs must be listed separately with unique item number/IDs.
Product Name* - The name of the product. You can duplicate Product Names as long as each product with the duplicate product name has a unique Trade Item ID. For example, if a product has multiple pack sizes and is therefore differentiated as a unique product in your ERP, the product name could be the same across the product rows, as long as each product has a unique item number/ID.
UPC (Universal Product Code) - a 12 digit code, predominantly used in North America and is intended to be scanned at Point of Sale (POS). This field is not required.
GTIN (Global Trade Item Number) - A GS1 identification key / globally unique number used to identify your specific product. Per GS1, every individual product requires its own GS1 GTIN, and every variation of your product (e.g. each size, each colour) requires its unique GS1 GTIN. Your customers may or may not require unique GTINs for each of your products. Wholechain does not require unique GTINs, as long as you have unique trade item IDs for each of the products (including the variations). This field is not required. Recommended for GDST.
PLU (Price Look Up) - PLU codes are 4 or 5-digit numbers and appear on a small sticker applied to the individual piece of fresh produce. The PLU number identifies produce items based upon various attributes which can include the commodity, variety, growing methodology (e.g., organic), and size. This field is not required.
Description - a description of a food product and includes the product name (including, if applicable, the brand name, commodity, and variety), packaging size, and packaging style. Required for GDST.
Traceability Type*
- Lot-based means you're tracing items through the supply chain based on their lot number - which is a group of products that are associated, typically based on their harvest date or production run.
- Serial traceability is when you're tracing one single individual product that is differentiated from all other products based on a serial number. Examples would be a car or a smartphone.
Unit of Measure*: Wholechain can accommodate multiple variations of unit of measure to match how UOM is captured in your system. If the product is measured by raw weight, UOM field would refer to the weight (kgs, lbs). If the product is measured by a defined unit, i.e. X weight per unit (cases, units, totes, pallets), leave “Unit of Measure” (column H) blank and use columns “Unit Quantity”, “Defined UOM” and “Unit Descriptor” instead.

Species Name and Species Code - Click here for FAO list of species codes. Required for GDST.
Product Form - Raw item: TO_BE_CUT_FOR_SALE; Retail item: CUT_FOR_SALE. Required for GDST.
Short Description - A free form short length description of the product that can be used to identify the product at point of sale. Typically, input the product name in this field. Required for GDST.
Information Provider - the Trade Partner supplying the traceability data for the particular event involving the item. Required for GDST.
Owning Party - the entity that owns the product; determined by the Trade Partner in possession of the item during the event. Required for GDST.
