Managing Your Wholechain Integration
Once you have completed the setup process and clicked Activate Integration, you will be taken to the Manage Integration screen.
This screen allows you to:
- Manage event triggers
- Monitor integration status
- Review trigger and exception logs
- Manage uploaded master data
- Reconfigure or disable your integration
Understanding Event Mapping
Important Setup Note
During the setup process, you configured mappings between:

NetSuite Events
and
- Wholechain Events
How This Works
Whenever the mapped NetSuite event runs inside NetSuite, the integration automatically triggers the corresponding Wholechain event using the field mappings you configured.
Example
| NetSuite Event | Wholechain Event |
| Item Receipt | Receive From Vendor |
In this example:
- Every time an Item Receipt occurs in NetSuite,
- Wholechain automatically creates a Receive From Vendor event using the mapped data.
Manage Triggers
On the top-left section of the Manage Integration screen, you will see the Manage Triggers section.
Edit Mapping Configuration
Click Edit Mapping Configuration to:
- Modify event mappings
- Change field mappings
- Adjust optional configuration settings
- Add or remove integrations
This screen is the same configuration screen used during initial setup.
Returning to the Manage Integration Screen
Once you are done editing mappings:
- Click Activate Integration again
This will return you to the Manage Integration screen.
Integration Status
The Integration Status section allows you to manage your active Wholechain connection.
Reconfigure API Key
You can:
- Change your API key
- Switch environments
For example:
- Move from Sandbox to Production
- Move from Production to Sandbox
After making changes:
- Click Save
Disable Integration
You may also completely disable the integration.
When disabled:
- No additional information will be sent from NetSuite to Wholechain.
- All item “include in Wholechain integration” checkboxes will be unchecked
- All existing mapping configurations and API key data will be removed, and you will be redirected to the Wholechain connection setup page to reconnect and reconfigure the integration if needed.
Include in Wholechain Integration Checkbox
Once the Wholechain SuiteApp is installed, inventory items in NetSuite will contain a new checkbox called:
Include in Wholechain Integration
This checkbox determines whether records involving that product should be sent to Wholechain.
How It Works
Even if an event mapping exists, the product must still be enabled for Wholechain integration.
Example
You have configured:

If a product on the Item Receipt does not have:
- Include in Wholechain Integration checked,
then that product will not be transmitted to Wholechain.
On activation, all products are automatically checked. To uncheck, please make your way to the inventory item and unselect the integration checkbox
Multiple Products on a Single Record
If an Item Receipt contains:
- One product enabled for Wholechain
- One product not enabled for Wholechain
then:
- Only the enabled product will be sent to Wholechain.
Trigger Logs
The Trigger Logs section displays all events that were successfully sent to Wholechain or failed after reaching the Wholechain API.
Trigger Statuses
Complete
Indicates:
- The event was successfully processed by Wholechain.
Failed
Indicates:
- The request reached the Wholechain API,
- but the API returned an error.
Important Note About Trigger Logs
Trigger Logs only display failures that occurred after NetSuite successfully sent the payload to the Wholechain API.
If a failure occurred before the API call was made, the error will instead appear in the:
- Exception Logs section.
Viewing Trigger Details
To inspect a specific trigger:
- Click View Details
You will then be able to see:
- The payload sent to Wholechain
- The response returned from Wholechain
- Related NetSuite record information
Available Actions
From the Trigger Details screen, you can:
- Resend the payload
- Open the related NetSuite record
- Remove the event from Wholechain

If you need assistance diagnosing a failed trigger:
Please contact:

Include:
- Event ID
- Payload details
- Related NetSuite record information
This will help Wholechain support diagnose the issue more efficiently.
Exception Logs
The Exception Logs section displays errors that occurred before the Wholechain API received the information.
These are generally:
- NetSuite-side failures
- Mapping failures
- Script execution errors
- Validation failures before transmission
Diagnosing Exception Logs
To properly diagnose these issues:
- Export or copy the Exception Log information
- Send the details to Wholechain Support
This information is required for troubleshooting.
Managing Your Master Data
The Managing Your Master Data section allows you to manage records uploaded into Wholechain.
Master data includes:
- Products
- Vendors
- Customers
- Self Locations
Self Locations
Self Locations refer to:
- Your own business locations within your Wholechain account.
Viewing Uploaded and Non-Uploaded Records
For each master data category, you can view:
- Records already uploaded to Wholechain
- Records not yet uploaded
Uploading Additional Master Data
If you need to upload more records:
- Navigate to the master data section in your Wholechain Suitapp (This will be at the bottom of your Suitapp):
- Products
- Vendors
- Customers
- Self Locations
- Click Upload More
This will return you to the original upload and mapping screen from the setup process.
Upload Workflow
From the upload screen you can:
- Select records to upload
- Preview the upload data
- Save and upload records to Wholechain
Automatic Creation Using “Add on the Go”
If you enabled:
- Add Products on the Go
- Add Locations on the Go
During integration setup, manual uploads may not be necessary.
How Automatic Creation Works
When an event runs:
Products
If the product does not exist in Wholechain:
- Wholechain automatically creates the product
- Then processes the event
Locations
If the location does not exist in Wholechain:
- Wholechain automatically creates the location
- Then processes the event
This applies to:
- Internal Locations
By Default the system will always create masterdata for the following locations when running events on them.
- Vendors
- Customers
- Receiving Locations
- Shipping Locations
Best Practices
It is recommended that you:
- Regularly review Trigger Logs
- Monitor Exception Logs
- Validate mappings after any NetSuite customization changes
- Test integration changes in Sandbox before Production
- Ensure products intended for traceability have the Include in Wholechain Integration checkbox enabled
